This Privacy Policy explains how Orchis Green Private Limited ("Orchis Green", "we", "us") handles personal information when you visit www.orchisgreen.in, contact us or take part in our work. We act as the data fiduciary for this website under India's Digital Personal Data Protection Act, 2023 (the "DPDP Act").
1. Who we are
Orchis Green Private Limited is an Indian company incorporated in 2019 and part of the PencilHB team. Our registered office is at 22, Bidyut Palli, Singur, Hooghly, West Bengal 712306, India. Privacy questions can be sent to sougata@orchisgreen.in or by phone on +91 90512 19477.
2. What we collect
- Enquiry form details: your name, email address, company (optional), the topic you choose and your message.
- Correspondence: anything you include in emails or calls with us.
- Basic server logs: IP address, browser type, pages requested and timestamps, which our hosting provider records to keep the site running and secure.
Please do not send us sensitive information through the website, such as financial details, government ID numbers, health information or passwords.
3. How we use it
- To respond to your enquiry and prepare pilot proposals, quotes and schedules.
- To keep records of our conversations and any resulting engagement.
- To secure the website, prevent spam and abuse, and diagnose faults.
- To meet legal, tax and accounting obligations.
We do not sell personal information, use it for advertising, or make automated decisions about you.
4. Consent and legal basis
We process your information on the basis of the consent you give when you submit a form or write to us, and for the other purposes the DPDP Act permits, such as complying with law. You can withdraw consent at any time by emailing us. Withdrawal does not affect processing that happened before it.
5. Form submissions
The enquiry form on this site is delivered to our mailbox by an email relay provider, or, if that provider cannot be reached, by opening your own email application with the message filled in. Only authorised Orchis Green staff can access the mailbox.
6. Data collection projects
Participant information from our egocentric video and sensor data collection projects is not collected through this website. It is handled under separate bilingual consent forms and written client agreements. Footage is used only for AI training and is never resold, and faces can be blurred on request.
7. Sharing
We share personal information only with the hosting and email providers that run this site and our mailbox, each under confidentiality obligations, and with professional advisers or public authorities where the law requires. Some providers may process data outside India, subject to appropriate safeguards and the restrictions of the DPDP Act.
8. Cookies and tracking
This website sets no advertising, analytics or third-party tracking cookies. Fonts are loaded from Google Fonts, and the sample video on the home page is served from our own domain.
9. Retention
We keep enquiries for as long as the conversation and any resulting project require, and afterwards for the period that legal, tax and accounting rules demand. Server logs are kept for a limited period by our host. When information is no longer needed we delete or anonymise it.
10. Your rights
Under the DPDP Act you may ask for a summary of the personal information we hold about you, request corrections or erasure (subject to our legal obligations), withdraw consent, raise a grievance, and nominate someone to exercise these rights for you. Send requests to sougata@orchisgreen.in.
11. Children
Our services are aimed at businesses and adults. We do not knowingly collect information from anyone under 18 and will delete it if we discover it.
12. Security
The site is served over HTTPS and our mailbox is protected by access controls. We take reasonable technical and organisational measures to protect your information, while noting that no system is completely secure. Any breach is handled, and reported, as the law requires.
13. Grievances and complaints
Concerns about this policy or our handling of your information go to our grievance contact at sougata@orchisgreen.in. If you are not satisfied with our response you may approach the Data Protection Board of India.
14. Changes to this policy
We may update this policy from time to time. The date at the top shows the most recent change, and we will highlight significant changes on this page.
