This website is operated by Orchis Green Private Limited, a company based in India ("Orchis Green", "we", "us"). For the personal data described in this policy, we are the Data Fiduciary under India's Digital Personal Data Protection Act, 2023 (the "DPDP Act").

We only collect the information you choose to send us, plus basic technical data needed to run the website:

• Contact form messages: your name, email, company (optional), the topic you choose and your message.
• Emails and calls: your email address or phone number and whatever you tell us.
• Technical data: our hosting provider may process standard server logs such as IP address, browser type, date and time, and pages requested. We use them only for security and reliability.

Please do not send sensitive information such as financial details, government ID numbers, health information or passwords through our forms.

• To read and respond to your enquiry, assess whether we can help, and prepare pilot proposals.
• To keep records of our conversations and any resulting agreements.
• To keep the website secure and prevent spam and abuse, including limiting repeated submissions.
• To meet legal, tax and regulatory obligations.

We do not sell personal information, and we do not use it for advertising or automated decision-making about you.

We process the personal data you submit on the basis of your consent, given when you submit a form or email us, and for the legitimate uses permitted under the DPDP Act, such as responding to the request you made.

You can withdraw your consent at any time by writing to sougata@orchisgreen.in. Withdrawing consent does not affect processing that happened before you withdrew it.

Depending on how the website is set up, the contact form either emails your message to sougata@orchisgreen.in through our email service provider, or opens your own email app so you can send it to us yourself. Either way, it is stored in our business mailbox and only authorised people at Orchis Green can access it.

Footage and personal data of people who take part in our data collection projects are not collected through this website. They are handled under separate written consent forms, in Bengali and English, and under our agreements with clients. Footage is used only for AI training and is not resold. Faces can be blurred on request.

Participants can ask about, correct or withdraw consent for their data at any time by writing to sougata@orchisgreen.in or calling +91 90512 19477.

We share personal information only when needed:

• with service providers who host this website and deliver and store our email, under confidentiality and security obligations;
• with professional advisers, auditors or authorities where required by law or to protect our legal rights.

Our service providers may store or process data on servers outside India. Where this happens, we rely on providers that apply appropriate safeguards and we comply with any restrictions notified under the DPDP Act.

This website does not use advertising cookies, analytics cookies or third-party trackers. If that changes, we will update this policy and ask for your consent where required.

The contact section can show a Google Map of our address. It loads only if you click "Show map". Google may then set cookies and process data under its own privacy policy.

• Enquiries: for as long as needed to handle the conversation and any resulting project, and then for as long as required for legal, tax or accounting purposes.
• Server logs: for a limited period, as kept by our hosting provider for security purposes.

When we no longer need personal data, we delete it or make it anonymous.

Under the DPDP Act and other applicable law, you have the right to:

• ask for a summary of the personal data we hold about you and how we use it;
• ask us to correct, complete or update inaccurate or incomplete data;
• ask us to erase your data, unless we need to keep it to meet a legal obligation;
• withdraw your consent at any time;
• have your grievance addressed by us;
• nominate another person to exercise your rights in the event of your death or incapacity.

To use any of these rights, email sougata@orchisgreen.in from the address you used with us, or tell us how to verify your identity. We will respond within a reasonable time and within the period required by law.

This website and our services are meant for businesses and adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us their details, contact us and we will delete them.

We use reasonable technical and organisational measures to protect personal information, including encrypted connections (HTTPS) to this website and access controls on our mailbox. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

If a personal data breach occurs, we will act on it and notify affected people and the Data Protection Board of India where the law requires.
